Roles: what you can do
Your role decides what you can do in Open Intranet. Everyone who logs in has the Authenticated user role, and an administrator can give you more roles. Roles add up: if you have several, you can do everything any of them allows.
Roles decide what you can do. Which restricted pages and documents you can see is decided separately, by department groups (see Access Control).
What each default role can do
Section titled “What each default role can do”| Role | You can | You cannot |
|---|---|---|
| Authenticated user (everyone who is logged in) | Read published content; comment and edit your own comments; like news articles and basic pages; bookmark items; browse and download documents; see user profiles; set your own notification preferences; book rooms, if Room Booking is enabled, and edit or cancel your own bookings | Create or edit pages, news articles, events or knowledge base pages; upload documents |
| Content editor | Everything above, plus create, edit and delete Basic pages, News articles, Events, Knowledge Base pages and Webform pages; restrict who can see a page with its Access tab; use the Create menu | Manage the documents library; manage users; change menus or the book structure |
| Content Editor - Basic Page, - News Article, - Event, - Knowledge Base, - Webform | The same as a Content editor, but for one content type only | Work with the other content types; restrict who can see a page |
| Content Editor - Documents | Upload, edit and delete documents and folders; work with document revisions; open the documents settings | Restrict who can see a document; create other content |
| User Accounts Manager | Open the user list; create, edit and block user accounts; give any role to any user, including Administrator | Create or edit content |
| RMB - Room Manager (only if Room Booking is enabled) | Create rooms and edit or delete any room; create bookings and edit or delete any booking | Use the administration menu |
| Administrator | Everything, including menus, the book structure, roles and permissions | Nothing is off limits |
Why is a button missing for me?
Section titled “Why is a button missing for me?”If you cannot see a Create menu, an Edit tab or an Access tab, your roles do not include that permission. Ask your administrator to check your roles: they see them on the People page. Editing pages and managing documents are separate roles, so a Content editor cannot manage documents unless they also have the Content Editor - Documents role.
