Open Intranet overview
Communication

Communication

Reach every employee — from HQ to the front line.

News and Announcements

News and Announcements

Publish company news with precision targeting and access control. Target by department, location, group, or role. Schedule publication dates, pin important articles, and organize with categories and tags.

Why it matters: Instead of sending an email that 80% of your organization never reads, publish news on the intranet where it's persistent, searchable, and trackable.

Must-Read Tracking

Must-Read Tracking

Mark any content as "Must Read" and track who has read it, when, and who hasn't. Send automated reminders, set deadlines, and generate compliance reports.

Why it matters: When a safety procedure changes or a new policy takes effect, you need proof that every employee was informed.

Multi-channel Messenger

Multi-channel Messenger

Reach deskless employees who don't have intranet accounts. Create contact databases, import from CSV, group by department, and send via email or SMS.

Why it matters: 80% of the workforce in retail, healthcare, and logistics doesn't have corporate email. Multi-channel Messenger bridges this gap.

Knowledge & Documents

Knowledge & Documents

One source of truth for your organization.

Knowledge Base

Knowledge Base

Centralized repository for procedures, instructions, and documentation. Create structured articles with rich text, organize into categories, track version history, and control access per article.

Why it matters: Procedures, manuals, and institutional knowledge in one searchable place — not locked in someone's head or an email from 2019.

Document Management

Document Management

Upload files of any type. Link from Google Drive, OneDrive, Dropbox. Unlimited folder hierarchies with drag-and-drop, per-folder permissions, full-text search within documents, and version control.

Why it matters: Replace scattered file servers, shared drives, and email attachments with one organized, searchable repository.

AI-Powered Content

AI-Powered Content

Use AI to draft news articles, announcements, and knowledge base content. Generate headlines, lead paragraphs, summaries, and improve readability.

Why it matters: Internal communications teams are often small. AI assistance helps them produce more content, faster.

Full-Text Search

Full-Text Search

Search across all content types including inside PDF and Office documents. Autocomplete suggestions, filter by type, date, author, or department.

Why it matters: The intranet is only useful if people can find what they need.

Learning & Training

Learning & Training

Onboard, train, certify.

Learning Management System (LMS)

Learning Management System (LMS)

Create courses with multiple lessons, rich content (text, video, quizzes). Assign to users or departments, track progress, issue completion certificates, and set mandatory training deadlines.

Why it matters: From new employee onboarding to annual compliance training — structured learning with tracked completion.

Forms & Workflows

Forms & Workflows

Digitize internal processes.

Internal Forms

Internal Forms

Drag-and-drop form builder with text, number, date, file upload, signature, and conditional fields. Multi-step forms, email notifications, automated routing, submission dashboards, and PDF export.

Why it matters: Replace paper forms, email requests, and spreadsheet tracking with structured digital forms.

Consultation Process

Consultation Process

Structured decision-making and multi-level approval workflows. Create consultation requests, assign for review, track decisions with a complete audit trail.

Why it matters: Internal approvals follow a clear, documented process instead of email chains where decisions get lost.

People & Organization

People & Organization

Know your team.

Employee Directory

Employee Directory

Employee profiles with photo, contact info, role, department. Organizational chart, search by any attribute, department browsing, and LDAP/Active Directory sync.

Why it matters: In a large organization, knowing who does what and how to reach them is essential.

Groups and Access Control

Groups and Access Control

Unlimited nested groups with smart access inheritance. Restrict access to pages, documents, folders, and forms per group. Combined group-based and individual permissions.

Why it matters: Different departments need different information. Groups ensure the right people see the right content.

Calendar and Events

Calendar and Events

Company-wide, department, and team calendars. Event creation with details and attachments. Sync with Outlook and Google Calendar. Room/resource booking and recurring events.

Why it matters: One shared calendar replaces the confusion of competing schedule sources.

Analytics & Compliance

Analytics & Compliance

Measure, prove, improve.

User Engagement Analytics

User Engagement Analytics

RFV scoring per user, automatic segmentation (Champion, Loyal, At Risk, Dormant). Executive dashboards, adoption rates per department, content performance metrics, and CSV export.

Why it matters: Know which departments are engaged and which aren't. Identify at-risk users before they disengage.

Manager Dashboard

Manager Dashboard

Location-specific insights for team leaders. Read tracking per team, must-read completion rates, training status, form submissions, and engagement metrics.

Why it matters: Team leaders need a quick view of their team's engagement — not the entire organization.

Frequently Asked Questions

Everything you need to know about pricing, security, integrations, and migration.

About the product

Is Open Intranet really free?
Yes. The software itself is free and open source under GPL-2.0. You can download it, install it, and use it without any licensing fees. Professional services (installation, customization, hosting, support) are available from Droptica as paid services.
Can we extend it with custom features?
Yes. Open Intranet is built on Drupal, which has an extensive module ecosystem with 50,000+ available modules. You can use existing modules or develop custom modules for your specific needs. Most customizations can be delivered without modifying core code.
What kind of support is available?
Full professional support is available from Droptica (Open Intranet creator), covering SLAs, ongoing development, customization, and managed services. See pricing details for current packages and SLA tiers. Community support is also available through Drupal community channels (drupal.org issue queue, Slack).

Pricing & cost

What does Open Intranet actually cost over 5 years?
The software is €0. Real cost depends on implementation, hosting, and support. For a 300-person company, total 5-year cost typically runs €25,000–80,000 versus €144,000–300,000 for a SaaS intranet at €8 per user per month. Use our TCO calculator to see your numbers.
Are there any per-user fees, ever?
No. The GPL-2.0 license means unlimited users at no additional cost forever. Professional services (hosting, support) are priced as flat packages, not per-user. Whether you have 50 or 5,000 employees, the software cost stays €0.
What does implementation typically cost?
If your team implements Open Intranet itself, there is no cost beyond the time your team spends — the software is free under GPL-2.0. Enterprise implementations delivered by Droptica start at €5,000, depending on customization, integrations, and migration scope. See the pricing configurator for an estimate tailored to your needs.

Security & compliance

Is Open Intranet GDPR-compliant?
Yes. Open Intranet runs on Drupal, used by EU public sector, government agencies, and regulated industries. You control where data is stored, what is logged, and how long it is retained. Full GDPR data export and right-to-erasure workflows are supported out of the box.
Where is our data stored?
You decide. Self-host on your own infrastructure, choose Droptica's EU-only managed hosting (Frankfurt or Warsaw data centers), or any cloud you prefer (AWS, Azure, GCP). Data never leaves the jurisdiction you choose. On-premises deployments behind a corporate firewall are fully supported.
How is security maintained?
High. Open Intranet runs on Drupal, which has 20+ years of proven security track record — trusted by EU institutions, governments, universities, and Fortune 500 companies. It inherits the Drupal Security Team's coverage for core and contrib modules, including coordinated security advisories and a defined response SLA. Droptica delivers Open Intranet-specific patches in the same cadence. Penetration testing and security audits are available as paid services for organizations with internal compliance requirements.

Integrations

Does it integrate with our SSO (Azure AD, Okta, Google)?
Yes. Open Intranet supports OpenID Connect and SAML 2.0 out of the box, with pre-built recipes for Microsoft Entra ID (Azure AD), Google Workspace, Okta, and Keycloak. Setup typically takes 30–60 minutes per provider. Custom SAML 2.0 providers and on-premises identity systems are also supported. See our SSO setup guide.
Can we sync with our LDAP / Active Directory?
Yes. Users, groups, and attributes (department, position, office, manager) sync automatically on a configurable schedule. AD groups can map to Open Intranet roles for permission management. Both LDAP and Microsoft Active Directory are supported.
How do AI features handle our data?
You choose the AI provider — OpenAI, Anthropic Claude, Mistral, or an on-premises LLM. Vector embeddings for AI-powered search are stored in your own database (pgvector). No data leaves your infrastructure unless you explicitly connect to a third-party LLM. AI features can be disabled entirely if your security policy requires it.

Migration & implementation

Can we migrate from existing platforms (SharePoint, Confluence, Workplace)?
Yes. Migration is possible from SharePoint Online (documents, lists, users, permissions), Confluence (spaces → knowledge base, pages, attachments), and Workplace from Meta (groups, posts, files). Migration projects typically run 4–12 weeks depending on data volume and complexity. See our migration guide.
How long does a typical implementation take?
2–4 weeks for simple implementations (default configuration, light branding, no complex integrations), 6–10 weeks for typical mid-size rollouts with SSO and basic customization, and 12–20 weeks for fully customized enterprise deployments. Migrations from existing systems and integrations with HRIS/ERP add 4–12 weeks depending on scope. The first usable instance is typically live within the first week regardless of project size.
Do you provide training and onboarding?
Yes. Extensive public documentation covers installation, configuration, and day-to-day administration — enough for technical teams to self-onboard. On top of that, admin training, editor workshops, and end-user video walkthroughs are included in Business and Enterprise packages. Training-only packages are available for organizations doing self-implementation. All training materials can be co-branded and added to your own knowledge base.

Mobile & vendor risk

Is there a mobile experience or native app?
Open Intranet is fully responsive and works on any mobile browser — no separate app required, and well-suited for deskless and frontline workers. There is no off-the-shelf native mobile app. If you need a dedicated iOS/Android app (push notifications, biometric login, offline reading), Droptica builds custom mobile applications as a separate engagement.
What happens if Droptica becomes unavailable?
Droptica has been operating since 2013 (13+ years) as an established agency, so this is a low-probability scenario. But more importantly: it doesn't matter. Open Intranet is GPL-2.0 open source, the full source code is on drupal.org, and any Drupal agency in the world can take over development, hosting, and support. Your data, customizations, and infrastructure stay with you regardless of any single vendor relationship — that's the structural advantage of open source over SaaS.

Platform & roadmap

Is Open Intranet accessible (WCAG 2.1 AA)?
Yes. The default theme is built to WCAG 2.1 AA standards, including keyboard navigation, screen reader support, focus management, and high-contrast mode. An accessibility statement is included with every deployment for public sector compliance requirements (EN 301 549 in EU, Section 508 in US).
Does it support multiple languages?
Yes. Drupal core supports 100+ languages with full content translation workflows, automatic language detection, language switcher, and RTL support (Arabic, Hebrew). Each piece of content can have separate translations with independent publishing workflows. Common in deployments for international organizations and multi-country government agencies.
Will it scale to 5,000 or 10,000+ employees?
Yes. Open Intranet can successfully scale to very large enterprises. For larger scale, we recommend Solr search, Redis caching, and horizontal scaling on Kubernetes or managed cloud (AWS, Azure, GCP). Performance benchmarks and reference architectures available on request.
What is the release cadence and roadmap?
Major releases every 2–3 months. Latest stable: 1.9.0 (February 2026). The roadmap is public on drupal.org. The project is actively maintained by Droptica with 11+ contributors and the broader Drupal community, with security advisories covered by the Drupal Security Team.
